Planning a Company Dinner in Samut Prakan — A Practical Checklist

Every other decision depends on this one, and it's the one that moves most. The number on the invite is not the number that arrives. Work with three numbers, not one: the invited count, the realistic count (usually 75–85% of invited for a voluntary evening event, close to 100% when the company is hosting properly), and the ceiling you'd still be comfortable with if everybody surprised you. Give the venue all three. A venue that only hears the optimistic number will lay a room for it, and you'll pay for empty chairs — or worse, hear "of course we can" about a number that was never realistic.

"Company dinner" covers events that have almost nothing in common. The end-of-year party wants noise, a microphone, and a space that tolerates games and a prize draw. The milestone dinner — a contract signed, a factory anniversary, a founder's twentieth year — wants the opposite: one long table, people able to hear each other, and a setting that looks like the occasion mattered. The team meal after a hard quarter wants informality above all. Nobody wants a seating plan. The ice-breaker for a merged or newly hired team needs seating that mixes people who don't know each other — several medium tables, not one long one. The department send-off needs a space where a five-minute speech works without a PA system. Decide which of these you're actually running before you look at a single venue. The answer changes the room, the layout, the hour, and the menu format.

1. Can you hold the space for us, or are we sharing the room? "We can seat you" and "the space is yours" are different answers. 2. What happens if the number changes? Ask for the cut-off date for a final headcount, and what happens if you come in under it. 3. How does the food come out — all at once, in courses, or continuously? This decides whether people can move around and talk, or whether everyone stays anchored to a chair. 4. Is there a sound limit, and from what time? A venue near homes will have one. Better to know now than at 21:30. 5. How many cars can you park? Thirty people in Samut Prakan usually means fifteen to twenty vehicles. A venue that answers all five plainly is telling you something about how the evening will go.

Dietary needs, collected early and in writing. One vegetarian and one shellfish allergy is normal in any group of twenty. Both are easy a week ahead and difficult on the night. Who pays, and how. Splitting a bill twenty ways at 21:00 spoils an otherwise good evening. Settle it as one bill to the company, or collect beforehand. The journey home. If it's a drinking event, decide the transport answer before the first order, not after the third. A plan for rain. Anything on an open terrace in Thailand needs a covered fallback, and you should ask what it is rather than assume. The photograph. Somebody will want a group photo. Agree where and at what time — it's much easier outdoors while there's still light than at 21:00 under a ceiling lamp.
